Receptionist for Law Firm

  • Answer incoming calls from clients and direct them to the appropriate team members or departments.

  • Process client intake procedures, ensuring accurate and complete information is collected.

  • Assist in setting up and maintaining client accounts in accordance with firm procedures.

  • Send out necessary forms and documentation to clients via email, ensuring clarity and timely delivery.

  • Manage and update the firm’s calendar, scheduling appointments, meetings, and activities as required.

  • Collaborate with team members to ensure smooth coordination of client-related tasks.

  • Utilize Outlook, CRM, and other relevant tools to manage communication and information effectively.

  • Maintain confidentiality of sensitive client information and adhere to data protection regulations.

  • Provide exceptional customer service by promptly addressing client inquiries and concerns.

  • Assist with additional administrative tasks as assigned by the firm’s management.

Qualifications:

  • Proven experience as a virtual assistant, receptionist, or in a similar administrative role.

  • Proficiency in using Outlook, CRM systems, and other relevant software for scheduling and communication.

  • Strong organizational skills with the ability to manage multiple tasks efficiently.

  • Excellent written and verbal communication skills.

  • Attention to detail and a commitment to accuracy.

  • Ability to work independently in a remote setting, demonstrating self-motivation and discipline.

  • Prior experience in a legal or professional services environment is a plus.

  • Respect for confidentiality and ethical handling of sensitive information

Applications/Software:

  • The processor is at least Intel Core i3 or equivalent

  • RAM is at least 8GB

  • Operating System is at least Windows 10 (64 Bit), MAC OS/X, Ubuntu 19.10

  • The primary Internet Connection should be a ‘WIRED’ connection

  • Both primary and backup Internet must have 10mbps or higher

  • USB Headset with Noise Cancellation Feature

  • For desktop users, a backup power supply (e.g. UPS) is required

  • An active Skype account (all internal communication and application updates will be sent via Skype).

  • Other Software: Outlook, Calendly, Email, and CRM/something similar

  • Phone system: The client will provide
